Terms, Waiver & Privacy
Friday Mixer · Version 2026-09-27 · Last updated September 27, 2026
1. Who we are
Friday Mixer ("the Mixer", "we", "us") is an informal, social mixed-doubles tennis round robin organized by James and Stacey Allen and any volunteers who help run it (together, "the Hosts"). Nights are held at venues such as Farmington Valley Racquet Club and Hop Meadow Country Club in Simsbury, Connecticut. The Mixer is not operated by, affiliated with, or endorsed by those venues, the USTA, or any other organization.
2. Who can join
- You must be 18 or older to sign up and play.
- You must give your real name, a working email and mobile number, your gender for the men's and women's sides of the board, and an honest rating (USTA NTRP or self-rated).
- One account per person. Don't sign up someone else without their permission. Hosts may sign players up on their behalf.
3. How sign-up works
- A spot on the board is a registration placeholder, not a guaranteed court or partner. Courts and partners are drawn at random before each night.
- The Hosts may change dates, times, venues, the number of courts, the format, or cancel a night (for example for weather, venue issues, or low turnout). We'll try to give notice by email or text.
- Drops, late drops, subs and wait-list offers work as described in "How it Works" on the site. Your name, rating and record (nights played and late drops) are shown on the public board.
- If a fee is ever charged for a night, the amount and refund terms will be shown before you sign up. Unless stated otherwise, fees are not refundable after the court draw.
4. Conduct
- Play fair, be on time, and treat other players, Hosts and venue staff with respect.
- Follow each venue's rules, dress code and instructions from its staff.
- The Hosts may remove anyone from a night or from the Mixer, at their discretion, for unsafe play, harassment, repeated late drops or no-shows, or any other conduct that spoils the night for others.
5. Food, drinks and alcohol
Anything on the "Bring something to share" list is brought and served by the players who list it, not by the Hosts. If alcohol is present, you are responsible for your own consumption and for getting home safely, and you must follow venue policy and the law. Tell others about allergies; eat and drink shared items at your own risk.
6. Photos
Photos or short videos may be taken at Mixer nights and shared with the group or on the site. By attending you agree that you may appear in them. If you'd rather not be photographed, tell a Host on the night or email hello@fridaymixer.com and we'll respect that and remove any posted image of you on request.
7. Messages
By signing up you agree to receive emails about the Mixer (sign-up confirmations, wait-list offers, changes to your foursome, your court on the night, and cancellations). Texts are optional and only sent if you opt in; see the text message terms. You can turn email and texts off under your name on the site, but you may then miss offers and court assignments.
8. Assumption of risk, waiver and release of liability
Please read carefully. This section affects your legal rights.
Risks. I understand that playing tennis and attending Mixer nights involves inherent risks, including but not limited to: being struck by balls or rackets; slips, trips and falls; collisions with players, nets, posts, fences or equipment; sprains, strains, fractures and other injuries; heat illness, dehydration and cardiac or other medical events; injuries from court surfaces, lighting or weather at outdoor venues; and risks arising from the actions of other participants. These risks can cause serious injury, illness, disability or death.
My responsibility. I confirm that I am physically fit to play, that I have no medical condition that makes playing unsafe for me, and that I will stop playing if I feel unwell or unsafe. I am responsible for my own health insurance, medical care and equipment.
Voluntary participation. My participation is completely voluntary. I knowingly and freely assume all such risks, both known and unknown, even if they arise from the negligence of the Released Parties.
Release. To the fullest extent permitted by law, I release, waive, discharge and agree not to sue James Allen, Stacey Allen, any volunteer Hosts, the venues where Mixer nights are held, and each of their owners, employees, agents and members (the "Released Parties") from any and all claims, liabilities, damages or losses of any kind (including personal injury, illness, death and property damage or loss) arising out of or related to my participation in or attendance at the Mixer, including claims arising from the ordinary negligence of the Released Parties.
Indemnity. I agree to indemnify and hold the Released Parties harmless from any claim brought by me or on my behalf, or arising from my own conduct, to the extent permitted by law.
Medical treatment. I authorize the Hosts to call emergency services or arrange first aid for me if I am unable to consent, and I agree to be responsible for any related costs.
Scope. This waiver applies to every Mixer night I attend, now and in the future, until I tell the Hosts in writing that I withdraw from the Mixer. If any part of this waiver is found unenforceable, the rest remains in effect. Nothing here limits liability that cannot legally be limited, such as for gross negligence or intentional misconduct.
9. No warranty; limitation of liability
The site and the Mixer are provided "as is", free of charge (unless a fee is stated), by volunteers. We don't guarantee that the site will always work, that messages will always arrive, or that a night will take place. To the fullest extent permitted by law, the Hosts are not liable for any indirect or consequential loss, or for any loss arising from use of the site, missed messages, or cancellations.
10. Privacy
- What we collect: your name, email, mobile number, gender, rating and its source; your sign-ups, drops, subs, wait-list activity and record; songs you suggest and items you add to the share list; if you turn them on, phone notification tokens; and basic technical logs needed to run the site securely.
- Who sees what: the public board shows your name, rating and record. Your email and phone number are visible only to the Hosts.
- How we use it: only to run the Mixer: registration, the board, wait-list offers, subs, court draws, and messages about Mixer nights.
- Service providers: the site is hosted on Cloudflare; emails are sent through Cloudflare; texts are sent through Twilio. They process your information only to deliver the service.
- We never sell or rent your information, and we don't use it for advertising. Mobile numbers and text opt-in consent are never shared with third parties or affiliates for marketing.
- Your choices: you can update your details and message settings under your name on the site. To see, correct or delete your information, email hello@fridaymixer.com. We keep records of past nights (such as nights played and late drops) while you remain a member and delete your account on request.
- Security: we use reasonable measures such as encrypted connections and sign-in links instead of passwords, but no system is perfectly secure.
11. Changes and governing law
We may update these terms. The version and date at the top will change, and we may ask you to agree again before your next sign-up. These terms are governed by the laws of the State of Connecticut, and any dispute will be handled in the courts located in Hartford County, Connecticut.
